Program Associate (DC/DMV Area)

Citizens for Global Solutions (CGS) seeks a Program Associate. CGS, a membership based organization that for more that 75 years has worked for a peaceful, free, just and sustainable world community. We want to put an end to war and nuclear weapons, protect universal human rights, and restore and sustain our global environment through a democratic world federation. Under the direct supervision of the Executive Director, the Program Associate will be responsible for providing programmatic and administrative support for Citizens for Global Solutions Education Fund (CGS-EF), a registered 501(c)(3) nonprofit organization and, potentially, CGS Action Network, a 501(c)(4).
The position will require at least two days per week at our office in Northwest Washington, DC, with additional hours completed in the office or remotely. The position is envisioned as three to four days per week at an hourly rate with compensation commensurate with experience. The position is initially envisioned as a part-time contractor that may grow into a full-time salaried position eligible for benefits following a trial period.
Key Responsibilities:
- Programmatic Support:
- Support development, implementation, and continuous monitoring of program activities.
- Assist in coordination with program partners.
- Support outreach to program target groups, beneficiaries, and supporters.
- Ensure program calendar is up-to-date.
- Assist in timely and thorough reporting of program progress.
- CRM System Maintenance:
- Administer and maintain the organization’s Customer Relationship Management (CRM) system.
- Ensure accurate and up-to-date data entry, oversee user access, and provide training/support as needed.
- Accounting Support:
- Assist in financial operations, including basic bookkeeping, expense tracking, and invoice processing.
- Collaborate with the finance team to ensure compliance with accounting principles and reporting requirements.
- Policy and Procedure Tracking:
- Develop, update, and maintain policies and procedures for operational activities.
- Monitor compliance with policies and procedure and implement necessary changes.
- Monitor and maintain a master calendar.
- Event Logistics:
- Plan, coordinate, and execute various events at the DC headquarters and in hybrid online format, in coordination with other team members.
- Manage logistics such as A/V needs, vendor coordination, and on-site coordination.
- Communications Support
- Attend staff meetings, finance committee and other committee meetings when requested.
- Manage incoming correspondence to the office address, including US postal mail, packages, and voicemail.
- Ensure the timely and cost-effective processing of regular mass mailings.
- Handle smaller mailings emanating from the office (books, awards, etc.).
- Assist with social media scheduling and posting when needed.
- General Administrative Duties:
- Provide administrative support to various team members.
- Organize office and storage unit.
- Manage office hardware and software (computer, printer/scanner, phone).
- Procure and maintain office supplies and organizational promotional products.
- Streamline and optimize administrative processes to improve organizational efficiency.
Qualifications:
Required:
- At least two to three years of experience in operations/administrative management, preferable in a non-profit setting.
- Strong organizational and project management skills.
- Excellent verbal communication and interpersonal skills.
- Detail-orientation with a commitment to accuracy and thoroughness.
- Ability to work independently and collaboratively as part of a team, with a positive attitude and a willingness to take on multiple tasks.
- Basic knowledge of accounting principles and financial management practices.
- Working proficiency with basic software applications (e.g. Microsoft suite) and basic IT, A/V skills (e.g. setting up for hybrid meetings).
- Passion for CGS’s organization’s mission and commitment to its success.
Preferred:
- Bachelor’s Degree in relevant discipline (e.g. nonprofit management, business administration, communications, or a related field).
- Familiarity with CRM systems and proficiency in other relevant software tools (i.e. financial, social media, or graphic design applications).
- Experience developing and implementing human resources policies and procedures.
- Event management capabilities.
- Experience selecting and liaising with vendors.
- Background with or interest in working for a membership-based organization.
